Cancellations

Definition: A cancellation occurs when a student drops all course sections for a term before classes begin.

A student who has enrolled in a single course section or multiple course sections and later decides not to attend the University must cancel his or her registration(s) prior to 5:00 PM (Central Standard Time) on the day before the first day of instruction.

The official cancellation must be received in our office no later than 5:00 PM (CST) on the day before the first day of instruction. All students are responsible for knowing that the official campus cancellation policy becomes effective at 12:01 a.m. (CST) on the day before the first day of instruction each term. The dates for the first day of instruction for regular campus semesters are available on the Academic Deadlines page of the Office of the Registrar's website. For courses using a different calendar (8-week terms, for example), consult the dates in the Course Search; for self-paced courses that can start at any time during the year, please contact our registration staff as promptly as possible.

Cancellation Refund Policies

Official cancellation results in a 100% refund of tuition and fees or credit to the student’s account. A student who has not submitted a cancellation as of 5:00 PM (CST) the day before the first day of instruction is enrolled in courses and is obligated to pay all assessed tuition and fees. If the student leaves the University after the cancellation deadline, he or she must officially withdraw from the University. Students who withdraw from the university are subject to the University regulations governing withdrawals. (See below)

Withdrawals

Definition: Dropping all course sections on or after the first day of instruction for on-campus classes results in a withdrawal for that term. All students are responsible for knowing that the withdrawal policy becomes effective at 12:01 a.m. (CST) on the first day of instruction for on-campus classes. For courses using a different calendar (8-week terms, for example), please e-mail our registration staff as promptly as possible.

Withdrawal Refund Policies

A student who either fails to officially withdraw from the University, or withdraws following the refund period, is responsible for payment of all tuition and fee charges. Refunds for withdrawals from the University are governed by the campus’ pro-rata refund schedule. Individual tuition refunds are calculated using a pro-rata refund schedule and are based on the withdrawal date and length of the course. Since the University has a pro-rata refund policy, withdrawals cannot be backdated.

A student who officially withdraws from the University on or before 60 percent of the instruction period has elapsed shall receive a refund or credit to his or her account. Students who officially withdraw within the defined refund periods receive a pro-rata refund (or credit) of tuition based on the date when the Withdrawal Form is received by the Office of Online and Continuing Education. The assessed tuition is refunded on a pro-rata basis less a processing fee of 5 percent (5%) of the assessed amount or one hundred dollars ($100), whichever is less. Our administrative course fee is non-refundable, as are some other special fees.

Before a refund is made to the student, the University must make a refund to appropriate financial aid programs providing assistance to the student. In addition, when a student is indebted to the University at the time of withdrawal the refund will be adjusted accordingly.

NOTE: A student may not officially withdraw after the University’s discipline system has initiated action against the individual until the hearing of the case has been conducted.

How to Cancel or Withdraw

To cancel your course enrollments for a term, or withdraw from the University, simply submit the Change of Status form. The effective date and time of the requested cancellation or withdrawal is determined by when the completed form is received in our office. This request must be received no later than 5:00 PM (CST) on the day before the first day of instruction to cancel an enrollment.
